Privacy Policy

This Privacy Policy explains how ResultFolio LLC (“ResultFolio,” “we,” “us”) handles information in connection with ResultFolio. It does not claim SOC 2, ISO, GDPR, or similar certifications.

1. Who we are

ResultFolio is a B2B vehicle job documentation service for automotive service businesses. ResultFolio LLC is the operator. Privacy questions and requests may be sent to support@resultfolio.com.

2. Roles

For account, billing, security, and product-analytics information, ResultFolio determines how that information is used to operate the Service.

Customer, vehicle, job, photo, signature, and similar records you enter are generally processed on behalf of the business using ResultFolio. That business decides what to collect and share. If you are an end customer of a shop, contact that shop first about records it controls. ResultFolio can assist the shop or respond where we are legally required to do so.

3. Information we process

Depending on how the Service is used, we may process:

  • Account information such as email address and profile details
  • Business profile information you enter (name, contact details, address, logo)
  • Customer, vehicle, appointment, job, service, notes, and acknowledgement data entered for your organization
  • Photos and files you upload
  • Signature images captured as customer acknowledgements
  • Billing and subscription information from Stripe, such as customer and subscription identifiers and status. Stripe handles payment cards; ResultFolio does not store full card numbers
  • Product analytics and session replay after you accept, as described in the Cookie & Analytics Policy
  • Technical logs needed to operate, secure, and debug the Service

4. How we use information

We use information to:

  • Provide, maintain, secure, and improve ResultFolio
  • Authenticate users and keep organization data separate
  • Generate share pages and PDF reports you request
  • Process trials, subscriptions, invoices, and cancellation through Stripe
  • Send transactional email when email delivery is enabled
  • Investigate abuse, security incidents, and reliability issues
  • Understand product usage after you accept optional analytics

5. Your responsibility for customer data

You must have permission and a lawful basis to upload personal information, vehicle identifiers, photos, and other content about your customers. ResultFolio does not obtain that permission for you.

6. Sharing

We do not sell customer lists. We share information with service providers that help us operate ResultFolio, including Stripe (payments), our authentication, database, and storage provider, our hosting provider, our email provider when email is enabled, and PostHog when analytics are enabled. Those providers process information under their own terms.

7. Share links

If you create a share link for a report, anyone who has the link may view the report content you included. Recipients do not need a ResultFolio account. Treat share links as confidential.

8. Security

We use reasonable safeguards appropriate to a software service, including authentication and private storage for job photos and signatures. No method of transmission or storage is perfectly secure. Use a strong password and share reports only with intended recipients.

9. Analytics

Product analytics are optional. In the browser, PostHog loads only after you accept analytics. Rejecting non-essential analytics does not block ResultFolio, and essential authentication cookies still work. You can change your choice later in Cookie settings. Public share pages never load PostHog.

After you accept, we may use PostHog for page views, selected product events, and session replay. Replay masks form inputs and designated notes, blocks photos and similar visual surfaces, and does not run on public share pages. Analytics identity uses account and organization information, not customer names, phone numbers, VINs, signatures, report notes, photo URLs, or share tokens. 10. Retention

Account and workspace records are kept while the organization remains active, unless you delete records in the product where deletion is available. Finalized reports restrict ordinary content edits. Locked trial workspaces still retain stored jobs, customers, and reports.

After you cancel or close an account, we may retain information for a reasonable period to allow reactivation, collect amounts owed, resolve disputes, enforce our terms, and meet legal, tax, and accounting obligations. We then delete or de-identify information when we no longer have a legitimate need to keep it, unless a longer period is required by law.

11. Requests and choices

Organization members can edit or delete many records in the product according to product rules. You can cancel a paid subscription through the Stripe Customer Portal from Settings.

To request access, correction, or deletion of personal information we hold, or to ask a privacy question, email support@resultfolio.com. We may need to verify your identity and, for shop-controlled customer records, may direct the request to the business that entered the data. We will not honor a request that would violate law or another person’s rights.

12. Children

ResultFolio is directed at businesses, not children. Do not use the Service to collect information about children unless you are permitted to do so.

13. Changes

We may update this Privacy Policy. The “Last updated” date will change when we publish a new version. Material changes may require a new agreement.
